Privacy Policy

1. Who We Are

BallerIndex ("we", "us", "our") is an AI-powered football movement analysis platform based in the United Kingdom. We provide biomechanical performance analysis services to coaches and players.

2. Data We Collect

We collect and process the following data:

  • Account data — name, email address, role (coach or player), and profile information provided at registration.
  • Video footage — drill performance videos uploaded by players for analysis.
  • Biomechanical analysis data — movement scores, BAPTEC pillar scores, pose estimation data, and performance metrics generated by our AI engine.
  • Player photos — an optional photograph of a player, uploaded by the account holder. It is used on BallerCards and reports only after it has been switched on, as described in section 10.
  • Payment data — billing information processed securely through Stripe. We do not store card details.
  • Usage data — pages visited, actions taken, and technical data such as IP address, browser type, and device information.
  • Coach interaction data — for coaches who take part in labelling or blind-review rounds, we record the IP address and browser or device used, and how each judgement was made: how much of a clip was played, how many times it was replayed, the playback speed used, and how long the screen was in front of you. This is collected for account security, fraud prevention and label quality assurance, and is retained for 12 months.

3. How We Use Your Data

  • To provide and improve our AI movement analysis service.
  • To generate performance reports, BallerCards, and career progression data.
  • To process payments and manage subscriptions.
  • To send transactional emails such as analysis completion notifications.
  • To monitor platform performance and fix errors.
  • To keep accounts secure, prevent fraud, and check the quality of coach judgements used to calibrate our scoring.
  • To comply with legal obligations.

4. Data Retention

  • Video footage — deleted after 90 days from the date of upload.
  • PDF reports and BallerCards — retained for 12 months.
  • Biomechanical analysis data (scores, movement profiles, BAPTEC data) — retained indefinitely to support career progression tracking and the Digital Scouting Passport.
  • Player photos — retained while the player's profile exists, and deleted within 30 days of a request. Switching a photo off stops it being used immediately, but does not by itself delete the stored file.
  • Account data — retained until you request account deletion.
  • Payment records — retained for 7 years in accordance with UK financial regulations.
  • Coach interaction data (IP addresses, browser and device details, and how judgements were made) — retained for 12 months from collection.

5. Data Sharing

We do not sell your personal data. We share data only with:

  • Stripe — for payment processing.
  • Google Cloud — for secure file storage and AI processing infrastructure.
  • Supabase — for database and authentication services.
  • Sentry — for error monitoring (anonymised technical data only).
  • OpenAI — for AI-generated narrative content within performance reports.
  • Coaches may view the performance data of players they are linked to on the platform.

6. Your Rights

Under UK GDPR you have the right to:

  • Access the personal data we hold about you.
  • Request correction of inaccurate data.
  • Request deletion of your account and personal data.
  • Object to or restrict certain processing.
  • Data portability — receive your data in a machine-readable format.

7. Cookies

We use essential cookies for authentication and session management. We use analytics cookies (Google Analytics) to understand platform usage. You can disable non-essential cookies in your browser settings.

8. Security

We implement industry-standard security measures including encrypted data transmission (HTTPS), row-level security on all database tables, expiring signed URLs for file access, and regular security reviews.

9. Children

BallerIndex is intended for use by coaches and players of all ages. Where players are under 18, it is the responsibility of the coach or parent to ensure appropriate consent has been obtained for video upload and analysis.

10. Player Photos

You may upload a photograph of a player to their profile. Because a photograph of a child is rendered onto files that can be shared, we handle it separately from drill footage and analysis data:

  • A photo you upload is stored but not used. It does not appear on any BallerCard or report until it is switched on from the player's page.
  • Switching it on requires confirmation that you are the player's parent or guardian. We record when that confirmation was given and which version of the consent notice was shown.
  • The photo is used only to render that player's BallerCard and performance report. It is not used to train our analysis models, is never used for advertising, and is never shown on the public card-verification page.
  • You can switch it off at any time, with no reason needed and no confirmation, and it takes effect immediately. Every card and report generated afterwards uses a plain silhouette. Cards and reports already produced keep the photo, because they are files that have already been delivered to you.
  • Every photo is automatically checked so that only one person appears in it. If anyone else is in the picture we will not use it, and we will tell you why on the player's page.
  • To have the stored photo itself deleted, contact legal@ballerindex.com. We will delete it within 30 days.

11. Changes to This Policy

We may update this policy from time to time. We will notify registered users of material changes by email. Continued use of the platform after changes constitutes acceptance.
